The role acts as a key link between suppliers, Accounts Payable, Procurement, Supply Chain, and operational teams, ensuring timely resolution of discrepancies while supporting continuous improvement across the Purchase-to-Pay process.\u00a0<br \/>Key Responsibilities<br \/><strong>Invoice Query Management<\/strong><\/p>\n<ul>\n<li>Receive, log, and prioritise invoice queries from suppliers, Accounts Payable teams, and internal stakeholders.<\/li>\n<li>Investigate invoice discrepancies including:\u00a0\n<ul>\n<li>Missing purchase orders<\/li>\n<li>Incorrect pricing<\/li>\n<li>Quantity variances<\/li>\n<li>Goods receipt issues<\/li>\n<li>Approval queries<\/li>\n<\/ul>\n<\/li>\n<li>Track all queries through to resolution and maintain accurate records.<\/li>\n<li>Ensure service levels and resolution times are achieved.<\/li>\n<\/ul>\n<p><strong>Supplier &amp; Stakeholder Communication<\/strong><\/p>\n<ul>\n<li>Build professional and effective relationships with suppliers and internal departments.<\/li>\n<li>Act as the primary contact for invoice-related queries.<\/li>\n<li>Communicate regularly with suppliers regarding query status and expected resolution times.<\/li>\n<li>Escalate complex or aged queries where necessary.<\/li>\n<\/ul>\n<p><strong>Process Resolution<\/strong><\/p>\n<ul>\n<li>Work closely with Procurement, Supply Chain, Operational Teams, and Accounts Payable to resolve invoice issues.<\/li>\n<li>Verify supporting documentation and approvals.<\/li>\n<li>Assist with obtaining retrospective purchase order approvals where required.<\/li>\n<li>Ensure resolved queries are returned promptly to Accounts Payable for processing.\u00a0<\/li>\n<\/ul>\n<p><strong>Reporting &amp; Analysis<\/strong><\/p>\n<ul>\n<li>Maintain accurate query logs and records.<\/li>\n<li>Perform root cause analysis on recurring issues.<\/li>\n<li>Identify trends and recommend process improvements.<\/li>\n<li>Support management reporting on query volumes, ageing, and resolution performance.<\/li>\n<\/ul>\n<p><strong>Continuous Improvement<\/strong><\/p>\n<ul>\n<li>Support P2P process improvement initiatives.<\/li>\n<li>Promote supplier compliance with purchase order and invoicing requirements.<\/li>\n<li>Contribute to reducing invoice exceptions and improving first-time match rates.<\/li>\n<\/ul>\n<p>Experience and Qualifications<br \/><strong>Essential<\/strong><\/p>\n<ul>\n<li>Experience within Accounts Payable, Invoice Query, Finance Administration, or Pur-chase-to-Pay environments.<\/li>\n<li>Strong problem-solving and investigative skills.<\/li>\n<li>Excellent communication and stakeholder management abilities.<\/li>\n<li>Good attention to detail and accuracy.<\/li>\n<li>Ability to manage multiple priorities and work to deadlines.<\/li>\n<li>Competent in Microsoft Excel, Outlook, Teams, and other Microsoft Office applications.<\/li>\n<li>Experience working with ERP systems such as Microsoft Dynamics Business Central, SAP, Oracle, or similar.\u00a0<\/li>\n<\/ul>\n<p><strong>Desirable<\/strong><\/p>\n<ul>\n<li>Experience using OCR or invoice automation platforms.<\/li>\n<li>Knowledge of procurement and purchase order processes.<\/li>\n<li>Experience working with query tracking or workflow management systems<\/li>\n<\/ul>\n<p>Salary and Benefits<br \/>We offer a competitive salary based on experience along with a full benefits package.<\/p>\n<p>Network Plus is proud to be an Equal Opportunity Employer.
